"Back to Index"
"Completed Work" is defined as the full completion of the Piece of work allocated by the County Co-ordinator.
"Work-in-progress" should never be forwarded without specific arrangement, and only for :-
  • purposes of examination for problem solving
  • personal circumstances which prevent the volunteer from completing the whole task.

    FreeCEN relies on certain procedures being followed in order that the work may 'import' into the next stage of operations.
    Different County Co-ordinators may specify different details according to circumstances:-

  • fiche/films/CD must be posted to the "next-stage worker", or to the Co-ord as directed.
  • a copy of the completed data-file (ZIP) must be forwarded, either by post or by email attachment as directed.
  • ALWAYS keep an archive copy of completed work, in case an emergency crops up and replacement is necessary.

    Transcription - INCENS

    On completion of all data entry, select the option [Pack File for Sending] which is found on the [Utilities] Menu.
    Follow all prompts and messages carefully!
    A small window will appear listing any data-files present in the \UKCENSUS\ folder.
    You must highlight the required piece before continuing.
    Note the filename and "location" of the "packed fle"
    After closing INCENS, use Desktop Explorer (or other method) to make a floppy disk copy of this file.

    The output file will always be named as "CENScode.ZIP" where "code" stands for your INCENS identification.
    To ensure that this file cannot overwrite or become confused with any other work you do, please RENAME the file in the style "ppppcode.ZIP" where "pppp" identifies the Piece concerned. Insert extra zeros at the beginning of this number (if necessary) to achieve four digits

    This the file, named and ready to be forwarded as instructions provided by your County Co-ordinator.
    Always keep an Archive Copy!


    Transcription - SSCENS

  • Save the completed spreadsheet in a "Comma Separated Variable" (.CSV or equivalent) format. The filename to be used will have been advised by your Co-ordinator.
  • Test the work (or arrange for it to be tested) using CSVCHECK [9b] and make any necessary corrections to the spreadsheet before again saving it in .CSV format.
  • If you have been using NotePad (or other text-editor) to make extended Comments [7a] ensure that this file is Saved having the name "MYNOTES.TXT"
  • Using WINZIP (or alternative packing routine), combine "filename.CSV" and "MYNOTES.TXT" into a single zip-file named in the style "codepppp.ZIP" where 'code' represents your 'working code' initials and 'pppp' identifies the piece which has been transcribed.
  • This is the file, named and ready to be forwarded as instructions provided by your County Co-ordinator.
    Always keep an Archive Copy!
    Do not forward fiche/film/CD until it has been confirmed that the file has been successfully converted to the FreeCEN format.

    Checking - WINCC

    On completion of all checking, select [Options] from the top Control Bar; select [Prepare for Validator] from the resulting drop-down menu.
    Follow all prompts and messages carefully.
    Note the filename and "location" of the "packed fle"
    This is the file, named and ready to be copied and forwarded, together with fiche/film/CD, as instructions provided by your County Co-ordinator.
    Always keep an Archive Copy!

    Validation - VALDREV

    On completion of all checking, select [Options] from the top Control Bar; select [Pack Completed Work] from the resulting drop-down menu.
    Follow all prompts and messages carefully.
    Note the filename and "location" of the "packed fle"
    This is the file, named and ready to be copied and forwarded, together with fiche/film/CD, as instructions provided by your County Co-ordinator.
    Always keep an Archive Copy!

    Note that a Validator may be invited to do the Post-Validation work with the file. Specific arrangements will have been made between the Co-ordinator and the volunteer.
